Remote Online Notarization allows a commissioned notary to verify identity, witness signatures, and apply a notarial seal over a secure audio-video session instead of meeting in person. Your documents are signed and notarized electronically, then returned as tamper-evident PDFs.
Most states now authorize some form of remote online notarization, but the rules vary by jurisdiction and document type. When you submit a request, our team confirms RON eligibility for your specific transaction and location before we schedule.
We support law firms, title and escrow companies, lenders, settlement administrators, corporate legal departments, and individual consumers. Whether you’re managing one file or a high-volume, multi-state program, we can tailor a RON workflow to fit.
Common RON use cases include real estate and loan packages, affidavits, powers of attorney, settlement documents, estate planning documents, and other routine legal or business forms. Some courts, recorders, and agencies still require wet-ink notarization; we’ll flag that early if RON isn’t appropriate.
Each signer will need a valid, government-issued photo ID, a computer or laptop with a camera and microphone, and a stable internet connection. (Tablets may work in some cases, but a computer provides the best experience.) RON sessions cannot be completed on a cell phone. We provide step-by-step instructions and test links so signers can check their setup in advance.
Our RON platform uses multiple layers of identity verification, which may include credential analysis of the ID, knowledge-based authentication (KBA) questions, and, where available, biometric comparison (matching the signer’s face to their ID photo) during the live session. If a signer cannot successfully complete the required checks, the notary cannot proceed until identity can be verified another way.
Yes. RON sessions are recorded and securely stored, along with a digital journal, as required by law. Recordings and journals are retained for a minimum of ten (10) years, consistent with current legal requirements.
In many cases, yes. When documents or jurisdictions require witnesses, we can often supply qualified remote witnesses in addition to the notary. Let us know your requirements at intake so we can confirm availability and compliance.
Yes. As long as the notary is physically located in their commissioning state, signers can generally be located anywhere in the world, provided they meet the identity and technology requirements and the transaction is otherwise eligible for RON.
During normal operating hours, we can typically fill RON appointments with as little as four hours’ notice, once documents and signer details are received. For high-volume or recurring matters, we can build dedicated RON schedules and workflows tailored to your timelines.
You can upload documents securely through our portal or via approved secure delivery methods. PDFs are preferred to preserve formatting and prevent last-minute issues. Our team reviews the file before the session to confirm readiness.
Once the RON session is completed, notarized documents are delivered as tamper-evident electronic files, typically in PDF format. If you require specific naming conventions, delivery methods, or portal uploads, we can build that into your workflow.
Yes. We can host up to six signers in a single RON session, and all participants must agree to meet at the same scheduled time. For more complex scenarios, we’ll coordinate multiple sessions and signing orders to capture everyone needed in a compliant way.
If a signer is unable to pass KBA, biometric verification may be an option where the platform and jurisdiction allow it. If the signer still cannot be verified after the permitted attempts, the notary cannot complete the RON. We’ll notify you and discuss alternatives, which may include rescheduling, updated information, or an in-person/mobile notarization where permitted.
Our RON platform uses encryption, secure storage, and tamper-evident technology to protect your documents and signing sessions. Combined with the audio-video recording, digital journal, and access controls, you get a detailed, defensible record of each transaction.
While we do not currently offer direct software or API integration into your internal systems, we can align RON with your existing workflows through standardized order forms, instructions, naming conventions, and communication processes. Our goal is to make RON feel like a natural extension of the way your team already operates, without promising full technical integration.
Pricing depends on the number of signers, document complexity, jurisdiction, and any rush or after-hours requirements. For recurring clients, we can discuss preferred pricing or program-level arrangements. Share the details of your use case, and we’ll provide clear, upfront pricing.
If a signer loses connection or there’s a technical issue, the notary will pause the session and attempt to reconnect. If the disruption prevents completion, we’ll reschedule and document what occurred. Our team also provides tech checks and support ahead of time to minimize issues.
