Whether it's a single borrower or signers across multiple locations, we keep the process moving.

We provide notary signing support for a wide range of commercial and SBA transactions, including but not limited to:

  • SBA 7(a) and 504 loans

  • Working capital and term loans

  • Lines of credit and asset-based lending

  • Real estate–secured commercial loans

  • Equipment and fleet financing

  • Debt restructuring, extensions, and workouts

  • Multi-entity and multi-guarantor structures

How Our Commercial & SBA Signing Process Works

Step 1 – Submit Your Order

Send us your transaction details, documents, signer information, and special instructions through our secure portal, NotaryDash™.

We need to know about entity structures, guarantors, timing constraints, and any lender-specific requirements up front.

Step 2 – We Assign and Coordinate the Notary

We match your file with an experienced notary in the signer's area, confirm the appointment, and provide detailed instructions—ID requirements, signature formats, scanbacks, shipping labels, and anything unique to your closing

Step 3 – Signing, Scanbacks, and Final Delivery

The notary completes the signing, follows your scanback and shipping instructions, and returns the package for review. We verify completion details and keep you updated so you're not chasing status when you should be preparing to fund."

FREQUENTLY ASKED QUESTIONS

  • We support a wide range of business lending transactions, including but not limited to SBA 7(a) and 504 loans, working capital and term loans, lines of credit, asset-based lending, equipment and fleet financing, real estate–secured commercial loans, and restructures or workouts. If your documents require a notarial acknowledgment, there’s a strong chance we can support the signing.

  • Yes. We regularly support SBA 7(a) and 504 files and understand that SBA packages often include additional forms, guarantors, and disclosures. Notaries assigned to commercial and SBA work are required to have more advanced training and experience than for our standard services—for example, we typically require a minimum of 500 loan signings for traditional residential real estate work and 1,000 loan signings for commercial files. All notaries follow your instructions carefully and do not provide legal advice or prepare documents.

  • Yes. We routinely coordinate signings for borrowers, guarantors, and entities in different cities or states. Depending on your needs, we can schedule a single coordinated date or multiple appointments and keep you updated as each signer is completed.

  • More lead time is always helpful, but we understand that commercial and SBA closings move quickly. In many markets, we can accommodate rush or next-day appointments. Timing requirements also depend on factors like the number of signers, the number of locations, and the overall complexity of the file. Share your timing and structure when you submit the order, and we’ll confirm what’s realistic for that transaction.

  • We provide nationwide coverage through a vetted network of notaries. If you have a signer in a more remote or hard-to-reach area, let us know as early as possible so we can secure the right notary and appointment window.

  • Our preferred method is for clients to upload documents securely through our portal. This keeps everything in one place, protects your data, and helps our service team move more quickly. While we can work with other secure delivery methods when needed, we strongly discourage sending documents by email or requiring our team to log into multiple outside systems, as that can slow down processing and increase the risk of delays.

  • Yes. Our notaries can print the documents, complete the signing, provide scanbacks as requested, and return the originals using your shipping labels or preferred carrier. Just include your requirements when placing the order, and we’ll build them into the instructions.

  • Absolutely. Many lending teams and law firms have specific label, naming, or upload requirements. We can incorporate your preferred conventions into your standard profile so each file is handled consistently and your internal teams don’t have to adjust their processes.

  • For commercial and SBA work, we prioritize notaries with significant experience and strong performance history, and we go beyond basic credential checks. Notaries are required to pass an extensive background check, and we put them through a review process that includes practical questions about the types of documents they’ll see regularly. For complex or high-value files, we look for notaries who can demonstrate familiarity with multi-signer, multi-entity, and lender-specific instructions—not just general notary work.

  • Yes—and in fact, we prefer recurring programs. Our primary goal is to make your life easier every single day, not just on a single file. We work to build ongoing relationships with lending teams and law firms so we can establish standard instructions, communication preferences, and workflows. The more we work together, the more seamless and efficient the process becomes for your staff and your clients.

  • Yes. Our mobile notaries can meet signers at virtually any mutually agreed-upon location, including their business, home, attorney’s office, or bank branch. And when we say “anywhere,” we mean it—if it’s safe and practical, a signing can happen at a conference room, a warehouse, a job site, or even on the tarmac next to a private jet or at a mile marker in the middle of Alaska. We’ll work with you and your signer to choose the location that makes the most sense.

  • If a signer cancels or key documents aren’t ready, we’ll work with you to reschedule. Additional fees may apply for last-minute changes or no-shows, but our first priority is clear communication so you can adjust your closing timeline and manage expectations with your clients and internal teams.

  • Signers must present valid, acceptable government-issued photo identification, consistent with notarial and state requirements. If there are corporate officers, POAs, or signers using a title such as “Manager” or “Member,” please flag that so we can ensure the notary has clear instructions and any supporting documentation needed at the table.

  • Yes. We regularly support files with layered entities, multiple guarantors, and different signing capacities. We can handle the logistics and instructions; however, it’s important to note that some states do not allow notaries to acknowledge capacity. For example, California notaries may only certify the identity of the individual who signed, not the capacity in which they signed (such as “President” or “Managing Member”). We’ll follow all state-specific rules while still doing everything we can to make complex structures run smoothly.

  • In some cases, yes—if the transaction and jurisdictions involved are eligible for Remote Online Notarization. For files that qualify, we can discuss whether an in-person mobile signing or a RON session is the better fit. If RON isn’t appropriate, we’ll recommend a mobile solution instead so the transaction stays on track.

  • Pricing depends on factors like location, travel distance, document complexity, number of signers, and any rush, after-hours, or special handling requirements. We also factor in the number of notarizations in the document package. For example, two transactions might each involve five signers, but one file may require 20 notarizations total while another might require 20 notarizations per signer. The number of notarizations directly impacts how long the signing will take and is an important part of pricing. Share your transaction details and timing, and we’ll provide clear, upfront pricing before the order is confirmed.
