You can use us à la carte or as a full-portfolio partner. Some clients send only photos and occupancy checks, others use us mainly for signings, and many use us for both so everything runs through one workflow.
We support investors and property managers with nationwide coverage across the U.S., including many secondary and rural markets. If you’re not sure about a specific location, send us the address and we’ll confirm coverage and realistic timing.
For most metro areas, we can dispatch a field agent or notary same day or next day. Remote locations may require more lead time. If you’re working against a hard deadline, tell us upfront so we can give you an honest turnaround estimate.
We capture both exterior and interior photos whenever access is provided. Our field agents follow detailed photo guidelines and must meet a minimum photo count so you’re not left guessing what a property really looks like. We specify required angles (front, sides, key rooms, mechanicals, etc.), and we have them document and note any visible damage or concerns as part of the report.
We confirm whether the property appears occupied, vacant, or abandoned, note who answers the door (when applicable), and flag obvious concerns like visible damage, posted notices, or safety issues. We don’t make legal determinations—we report what we see.
Yes. We can knock, deliver, and post notices or letters that you provide, and give a brief summary of what happened at the door. You remain responsible for the content and timing of the notice; we’re the on-site delivery team, not legal counsel.
Yes. We post For Rent, For Sale, and No Trespassing signs, as well as custom signage you supply. We can also remove or replace existing signs as your instructions change.
Yes—with a caveat. You provide the lockboxes; we provide the people. Our notaries and field agents can pick up lockboxes from a store you specify, deliver them to the property, install or swap them, and coordinate code changes so your teams and vendors can access the property without extra trips.
We handle both notarized and non-notarized documents. Common examples include deeds, affidavits, title transfer documents, purchase and sale agreements, leases, and addenda. Even if a document doesn’t require a notarial stamp—like a standard purchase and sale agreement for an older seller who can’t sign electronically—our notaries can still meet with the signer, walk through the paperwork at a high level, and oversee execution.
Orders, updates, and status changes flow through our portal, NotaryDash™, with email notifications as milestones are hit. You can log in anytime to see where a field job or signing sits and review photos, notes, or completed documents.
We recommend at least 24 hours’ lead time whenever possible. We can often accommodate urgent and same-day requests, especially in larger markets, but advance notice helps us find the best-fit agent and avoid rush costs.
We use a combination of experience requirements, background checks, and practical screening. For signing work, we prioritize notaries with strong loan-signing experience and ask real-world questions about the documents they’ll see. For field work, we look for reliability, professionalism on site, and clear communication.
Yes. We are built for recurring programs and portfolios, not one-off jobs. We can standardize instructions, photo expectations, forms, and reporting across markets so your team gets consistent output from property to property.
Many clients provide custom checklists, notice templates, and reporting forms, and we’re happy to work from your playbook. Our team will review your materials first to make sure the instructions are jurisdictionally appropriate and acceptable for our notaries and field agents. We don’t support predatory or misleading practices, and we’ll flag anything that could put your file—or our agents—at risk.
No long-term contract is required. We work with clients who send only occasional assignments and clients who use us daily. If you expect higher volume, we’ll talk through the best way to structure your program.
